When a food-business fridge records a high temperature, the first priorities are to verify the problem, protect the food and establish how long control may have been lost. Do not simply adjust the thermostat, write “fixed” and carry on.
Recheck the reading using the method in your HACCP system, minimise further warming, isolate affected stock where safety is uncertain, assess time and product temperature, decide the product outcome, fix the cause and record the action and recheck.

The first five minutes: verify and contain
A single high display reading is a warning, not yet a complete diagnosis. The air inside a cabinet may rise after a delivery or repeated door opening, while the food itself remains colder. Equally, a normal-looking display can be misleading if the sensor is faulty or badly positioned.
1. Verify the reading
Use the verification method in your food safety system. This may mean checking an independent thermometer, measuring between packs or probing a representative food item with a clean, disinfected probe. Record the second reading and the actual time. Do not overwrite the first result.
2. Stop making the situation worse
Keep doors closed where possible. Pause loading warm stock. Move service activity to another suitable unit if that can be done safely. Avoid repeatedly opening the cabinet while different people investigate.
3. Identify the affected stock
Establish what food is in the unit, whether it requires refrigeration for safety, when it was placed there and whether there is any reliable information about the duration of the problem. A sealed-drinks fridge is a different food-safety issue from a cabinet containing cooked meats, dairy products or prepared ready-to-eat food.
4. Isolate food where the outcome is uncertain
Do not continue selling, serving or using food while its safety is unresolved. Mark or physically separate it so another staff member cannot return it to use by mistake. Isolation is a temporary control pending a decision; it is not the final disposition.
Taking repeated measurements until one falls inside the limit does not cancel the earlier failure. Keep the full sequence and explain why the result changed.
How to assess whether the food remained under control
The product decision should follow your HACCP procedure, local guidance and the known facts. Consider:
- the highest verified product temperature;
- how long the food may have been above its limit;
- the type of food and whether it is ready to eat;
- whether the packaging was intact;
- whether the food will receive a validated cooking step;
- the manufacturer’s storage instructions and use-by date;
- any continuous temperature or alarm history; and
- whether the exposure time can be established with confidence.
Uncertainty matters. If nobody knows when the unit failed and there is no dependable temperature history, a manager should not assume the safest possible timeline. Escalate the decision in line with your procedure and contact the relevant authority or supplier where appropriate.
FSAI guidance for food businesses uses 0°C to 5°C as the normal range for chilled food. Its power-outage guidance says chilled food likely to have been above 5°C for longer than four hours should be discarded. That is useful context for that scenario, not a universal rule that replaces a product-specific HACCP assessment across every jurisdiction.
Possible product decisions
The correct outcome will depend on the evidence. Common decisions include:
Return to controlled storage
This may be appropriate where verification shows the food remained within its limit and the high air reading was temporary. Record why the food was considered safe and where it was moved.
Use within a controlled shortened period
Only use this option where it is part of a validated procedure and the time-temperature exposure is known. Do not invent a shorter date as a convenient compromise.
Cook immediately under an approved process
This may be possible for certain foods where a further cooking step is part of the established food safety system. It is not appropriate for every product and does not reverse other forms of spoilage or contamination.
Dispose of the food
Where the food may be unsafe, the exposure cannot be reliably assessed or your procedure requires disposal, record the quantity, product, reason, person authorising disposal and disposal method. Prevent discarded stock from re-entering sale.
Withdraw or recall product already supplied
If potentially unsafe food has left your control, the issue may become a food incident requiring withdrawal or recall procedures and notification to the competent authority. Act promptly rather than waiting for the equipment repair to be completed.
Find and correct the cause
Restoring a normal reading is only half of the response. Determine why the limit was exceeded. Possible causes include:
- a door left open or damaged seal;
- overloading or blocked airflow;
- warm deliveries placed directly into the unit;
- a thermostat or sensor fault;
- loss of power;
- poor ventilation around the condenser;
- defrost-cycle or ice build-up problems; or
- equipment that is unsuitable for the operating load.
Immediate correction might involve closing the door, reducing the load or moving food. Corrective action may also require maintenance, staff retraining, a revised delivery process, a changed check frequency or replacement equipment.
After intervention, recheck at a defined time. A note saying “engineer called” does not show that the unit returned to control or that the stock decision was completed.
Review whether this was an isolated fault or a pattern
After the immediate event is closed, look back at earlier readings for the same unit. A gradual rise, repeated short excursions or frequent door-related failures may show that the equipment is operating too close to its limit. Compare the issue with delivery times, service peaks and maintenance history.
Where several sites use the same cabinet model or operating process, share the learning. One well-investigated failure can prevent the same stock loss elsewhere. Update the HACCP procedure, staff instruction or planned-maintenance frequency where the evidence supports a change.
What should the record show?
- The unit, date, time and failed reading.
- The verification method and verified product or equipment reading.
- The affected food and quantity.
- The immediate action taken to protect stock.
- The product decision and who authorised it.
- The suspected or confirmed cause.
- Maintenance, repair or process action raised.
- The recheck time and result.
- Manager review and closure where required.
Preserve the original result. The record should make it easy to follow the event from detection through to a verified resolution.
High-temperature response checklist
- Verify the reading using an approved method.
- Keep the unit closed and stop adding warm stock.
- Identify and isolate affected food.
- Establish product temperature and likely exposure time.
- Follow the product decision in your HACCP procedure.
- Record disposal, withdrawal or other disposition.
