For many food businesses, checking and recording fridge temperatures at least once each day is a sensible baseline. But the correct frequency is not a universal number: it should be set by your food safety management system, the risks in your operation and how reliable the equipment and process are.
Start with a documented daily check for each relevant fridge, cold room or chilled display. Increase the frequency where the risk is higher—for example during busy service, after a fault, in hot weather, with heavily used display cabinets or where previous readings have been unstable.

A practical starting frequency
Official food safety materials in both Ireland and the UK commonly use a daily check as a practical operating baseline. The FSAI Safe Catering refrigeration record recommends checking fridge temperatures at least once per day and notes that some businesses may need to check more frequently. The Food Standards Agency’s Safer Food, Better Business material also recommends checking fridges and chilled displays at least daily, beginning with opening checks.
That does not mean “once a day” automatically suits every business. HACCP is risk based. A quiet storeroom fridge holding sealed drinks is not the same as a deli display opened throughout lunch service, a packed cold room receiving several deliveries, or a cabinet that has recently failed.
Your documented schedule should answer four questions:
- Which units and chilled processes need monitoring?
- When should each check happen?
- What limit or acceptable range applies?
- What must staff do when the reading is outside that range?
A schedule that staff can actually complete is more valuable than an ambitious timetable that produces gaps. Set the baseline around real operating moments—opening, before a busy food-service period, after delivery or at close—rather than choosing arbitrary times that do not match the work.
A page full of readings does not keep food safe. The control is the combination of a suitable limit, a dependable method, a clear response to failure and management follow-up.
When to check more often
More frequent checks are justified when the chance or consequence of losing temperature control increases. Review the schedule when any of the following apply.
High use or frequent door opening
Display cabinets, preparation fridges and service units can change temperature more quickly than storage equipment that stays closed. A check at opening may not tell you what happened during the busiest part of the day. A second check before or during service may be proportionate.
High-risk or ready-to-eat food
Where a unit contains foods that depend on refrigeration for safety, the impact of a failure is more serious. Your HACCP assessment should consider the type of food, how long it is stored and whether it will receive any further cooking.
Unstable equipment or a recent repair
If a fridge has produced inconsistent readings, been overloaded, had a door-seal problem or returned from repair, temporarily increase monitoring until you have evidence that it is operating reliably.
Unusual operating conditions
Hot weather, a power interruption, a large delivery, stock being loaded while still warm or prolonged door opening can all affect performance. These are good reasons for an additional check rather than waiting until the normal scheduled time.
Previous missed or failed checks
Repeated gaps are a management signal. The answer may be a better task time, clearer ownership, staff training, equipment maintenance or automated monitoring. Simply adding more empty check boxes will not solve the underlying problem.
What temperature should you measure?
A display on the outside of a fridge tells you something useful about the equipment, but it may not prove the temperature of the food. Air temperature can rise quickly when a door opens and fall quickly after it closes, while the food temperature changes more slowly.
Your method may combine:
- the unit’s display or an independent internal thermometer;
- a thermometer placed between packs;
- a clean, disinfected probe used on a representative food item;
- a “dummy” food or container designed to approximate product temperature; or
- a validated continuous sensor with manual verification.
Choose the method in your food safety system and train staff to use it consistently. If staff sometimes record the display, sometimes probe a product and sometimes guess from the dial, the results cannot be compared meaningfully.
In Ireland, FSAI guidance commonly uses 0°C to 5°C for chilled food and recommends setting fridges around 3°C or 4°C to help maintain that range. In the UK, FSA guidance commonly recommends setting fridges at 5°C or below so chilled food remains within the applicable legal and operational limit. Always use the limits in your own HACCP system and local guidance rather than copying a number without context.
What should a useful fridge record contain?
A useful record explains the check without requiring the manager to reconstruct it later. It should normally include:
- the fridge, freezer, cold room or display checked;
- the date and actual time of the check;
- the reading and unit of measurement;
- the person who completed it;
- whether the reading was within the agreed limit;
- any immediate correction or product decision;
- any maintenance or follow-up action raised; and
- the result of the recheck.
A row containing only “4°C” is weak evidence if nobody can tell which fridge it relates to, when it was measured or what happened when the next result was high. The value of the record is in the evidence chain.
What should happen if a check is missed?
Do not fill in a reading later from memory. A late invented figure weakens the integrity of the whole record. Complete a real check as soon as the omission is discovered, record the actual time and assess whether there was any period during which control was uncertain.
The response should be proportionate. A single late check on a stable unit may require a current reading and a note. A missed check on a problematic cabinet holding ready-to-eat food may require product temperature verification, review of any continuous data, stock isolation or a manager decision.
Managers should also ask why the task was missed. Was nobody assigned? Was the due time unrealistic? Did the reminder appear during the busiest service period? Did staff believe someone else had done it? Correcting the system is more useful than blaming the last person on shift.
A practical daily fridge-check checklist
- Identify every unit that holds food requiring temperature control.
- Set a check frequency based on risk, usage and equipment reliability.
- Define the reading method and acceptable limit for each unit.
- Place checks at realistic operating moments.
- Make the responsible role clear.
- Require an action and recheck when a reading fails.
- Review repeated late, missed or unstable results.
- Calibrate or verify thermometers at the frequency in your system.
